Finance Operations / Healthcare Services
The finance workflow needed more than a simple trigger. Tidylodge had different service paths, including insurance-related scenarios and an 8-Phase Program that required careful mapping before anything could be switched on for live clients.
The automation was structured to keep the invoicing logic organized, separated by workflow branch, and ready for responsible testing with the admin team.
The Problem
Insurance and program-specific invoicing can become risky when the logic sits in someone’s memory. The team needed a system that could route the right records into the right invoice path without flattening every customer into the same workflow.
The Implementation
• Dedicated insurance invoicing workflow
• Separate 8-Phase Program insurance branch
• QuickBooks invoice orchestration through Zapier
• Clear activation boundary: test first, publish after sign-off
Operational Note
The workflows were intentionally kept off until live tests could confirm appointment names, amounts, customer details, due dates, and output behavior. That is the safer way to launch finance automation.
Operational Outcomes
• Separated insurance logic from general payment flows
• Supported the 8-Phase Program workflow structure
• Created a safer testing path before production activation
